It should always been kept in mind that Business Letters are formal in nature, as compared to letters to family and friends that are more casual and personal. Hence, a business letter is a formal way to conduct company communication.
How to Write:
- As mentioned above business letter is in formal nature, so it shouldn’t be written by hand.
- Business letter is also a representative of a company and its work, so it should be written on Letter Head of the company.
- In any case Letter Head is not available then on the top of your page your company’s name, address and contact number should be written.

- After giving a gap of 5-6 lines mention the date when the letter is written on the right side.
- Choose an appropriate alignment for the whole letter. Left side and justify side of alignment is preferred.
- Proceed for the recipient’s full name, title and address on the left side after leaving 2 lines. It is appropriate to use Mr/Mrs/Ms with the full name.
- Again skip 2-3 lines and then offer words of greetings, such as: ‘Respected Mrs.xyz or Dear Mr.xyz’
- Once again skip 2 lines and then start your first paragraph stating your reason of sending the letter and in case the recipient is unaware of you then introduce yourself and the company which you represent.
- In the second paragraph state all the reasons in detail, that can include your complaints, launch of new product you need to market it or sell it, or to require information of the their company.
- End and Complete your paragraph in a concise manner with simple but impressive way.
- Again skip 2 more line and write concluding words like ‘thank you’, ‘best wishes’ or ‘Yours truly/ Sincerely’ and after that, right below of it type your name and title and sign it after printing it.
